For properties & concierge desks

A car your desk can actually vouch for

Airport, restaurant, meeting, event and FBO transportation for guests — dispatched and visible, so the concierge knows what happened after the recommendation.

What this service handles

A concierge recommending transportation is lending the property's credibility to somebody else's execution, and usually finding out how it went from the guest.

VaultPac's guest transportation is dispatched and monitored, which means the desk can be told what happened rather than asked. A vehicle running late is visible before the guest is standing in the lobby, and a movement that has completed is recorded as such.

It covers the full range a property actually needs: airport arrivals and departures, dinner and theatre runs, meetings, events, FBO transfers for guests flying privately, and point-to-point around the city.

Operational diagramThe two flows a front desk carries: guests out to their vehicles, luggage held and delivered on its own clock.

How VaultPac coordinates it

Every booking is a trip. A trip carries trip services, and each service breaks into the individual movements that actually have to happen — which is why the people and the bags do not have to travel the same way.

  2. Trip services
  3. Individual movements
  • Passenger movement

Sedan, SUV, Sprinter, minibus and coach movements priced and dispatched by the transportation engine.

  • Trip → Trip Services → Movements

One trip holds every service on it, and each service breaks into the individual movements that have to happen. A single booking can carry people and bags on different vehicles and different clocks without becoming two bookings.

  • Dispatch monitoring

Every movement on one board while it runs, so a late arrival is seen rather than reported.

  • Operator assignment

Movements assigned to a specific operator and vehicle, with the assignment visible to dispatch throughout.

  • Meet & greet

A greeter recorded on the movement itself, so dispatch knows the handoff is staffed and not assumed.

  • Luggage movement

Bags booked as their own movement, with their own route, their own timing and their own proof.

  • Masked communication

Passenger and chauffeur reach each other without either holding the other's number.

  • Account billing

Charges belong to an account rather than to a single booking, so one programme can carry several contacts, cards and cost centres.

  • FBO coordination

Tail number, operator, FBO and arrival details captured on the movement so the vehicle meets the aircraft rather than the terminal.

What runs this movement

Assignment reads the passenger count and the bag count, so the vehicle that arrives fits both. Larger movements run several.

Why VaultPac for this

  • The desk gets visibility rather than a phone number and hope.
  • Guest luggage can move separately on the same arrangement.
  • Airport, city and FBO movement from one supplier.
  • Charges can sit against a property account rather than being collected from each guest.

Questions

Can the property hold an account rather than charging guests individually?

Yes. Charges can collect against a property account, which is how most desks prefer to run it.

Can we see whether a guest's car has arrived?

Movements are dispatched and monitored, so the desk can be told rather than having to ring the chauffeur. The exact reporting arrangement is agreed when the account is set up.
