What this service handles

Crew movement is high-volume, unglamorous and the thing a production notices only when it fails. Departments call at different times, a unit move happens at two, and the wrap run is at whatever hour the day actually ends.

VaultPac runs crew as scheduled shuttles with counts on the same trip as everything else on the production. A unit move re-times the shuttles; a late wrap extends them; a department added to the call sheet becomes another movement rather than another vendor.

It scales from one van to a fleet, and in Chicago it draws on the operator network when a day needs more vehicles than any single operator holds.

Typical movement

  1. Early call runs Hotel or crew park to set, by department
  2. Unit moves Crew and gear repositioned mid-day
  3. Meal and shuttle loops Where the location needs them
  4. Wrap runs Extended on the board as the day runs over

How VaultPac coordinates it

Every booking is a trip. A trip carries trip services, and each service breaks into the individual movements that actually have to happen — which is why the people and the bags do not have to travel the same way.

  1. Trip
  2. Trip services
  3. Individual movements
  • Multiple vehicles

Several vehicles on one itinerary, each with its own assignment, timing and passenger list.

  • Passenger movement

Sedan, SUV, Sprinter, minibus and coach movements priced and dispatched by the transportation engine.

  • Trip → Trip Services → Movements

One trip holds every service on it, and each service breaks into the individual movements that have to happen. A single booking can carry people and bags on different vehicles and different clocks without becoming two bookings.

  • Changes during the trip

Times, stops, vehicles and passenger counts can change after a trip has started without rebooking it.

  • Dispatch monitoring

Every movement on one board while it runs, so a late arrival is seen rather than reported.

  • Operator assignment

Movements assigned to a specific operator and vehicle, with the assignment visible to dispatch throughout.

  • Affiliate & operator network

Vetted operators take work through the provider application, with their own view of the movements they hold.

  • Group manifest

Send the passenger and bag list you already have. It is read into the trip instead of being retyped into a form.

What runs this movement

Assignment reads the passenger count and the bag count, so the vehicle that arrives fits both. Larger movements run several.

  • Cargo van used for dedicated luggage movements Cargo vehicle

Why VaultPac for this

  • Crew shuttles sit on the same trip as talent and cargo, so one change moves everything that depends on it.
  • Capacity can be drawn from the operator network when a day outgrows one fleet.
  • Wrap runs extend rather than being rebooked at the end of a long day.

Questions

Can you cover a multi-week shoot?

Yes, as a standing programme on an account rather than as daily bookings. The pattern is set once and edited when the schedule changes.
